How to Assign Resources to Activities in Primavera P6

Resource usage data is based on summary data. Any changes made to assignments within a project will not be reflected until the project is summarized, using either the Project Management module or from the Projects > Tools page in P6 Web Access.

A Global preference setting lets you choose to automatically summarize the project after assigning resources, so that summary data always reflects current resource usage. To choose this option, at the top of the page, click Preferences, then click the Global tab if not already displayed. In the Resource Staffing section, mark the option to Automatically summarize project after assigning resources.

  1. Open the project or group of projects you want to work with in the Projects section.
  2. Click Team Usage on the Projects toolbar to display the Team Usage page.
  3. If multiple projects are open, select the project you want to work with from the Select Project list.

Note: If a single project is open, the Select Project list does not appear. When multiple projects are open, the Select Project box lists all open projects you have rights to access. Any action you perform, and all data that appears on the page, applies to the selected project only.

  1. From the Organized By drop-down list in the left pane, select Roles, then select the role whose activities you want to assign resources to.
  2. Choose the spreadsheet display option.
  3. If costs, rather than units, are displayed, click Customize, then choose to display units. Click Save.
  4. In the spreadsheet, click the name of the project for which you want to assign resources. This displays the Resource Staffing page, which lists the unstaffed and staffed activities for the role.
  5. On the Resource Staffing page, for each unstaffed activity that you want to assign the same resource, mark the Select checkbox.

You can choose from the resource pool or search for resources who meet specific requirements. Activities that have specific resource requirements associated with them display Yes in the Search Criteria column.

Note: Whether you assign a resource from the resource pool, or search for resources, the resources from which you can choose include only those that belong to your access node, based on resource security, and resources that are currently associated with the project.

  1. To display the hierarchy and choose a resource to assign, click Assign Resource. Select a resource, then click Assign. To review allocation details before assigning, click Show Detail. This displays the Resource Usage view, which enables you to review resource assignments based on summarized data.
  2. To search for resources who meet specific requirements, click Search. Specify new criteria required to staff the activity. To save this new criteria, click Save as Template. Or, to search using previously saved criteria, click Select Template. When finished specifying search criteria, click Run Search to display available resources.
  3. To assign resources to other unstaffed activities in the project, click Resource Staffing.
