On the Activities page, you can record progress directly in the Activity Table or you can select an activity in the table and display its details. You can also use the Progress Spotlight feature on the Activities page to highlight activities that should have progressed during a specific time period.

Tip: From a Workspace portlet, you can click an activity’s name to display its details and record progress.

Record progress in the Activity Table

  1. If the Activity Table does not display the columns you require for recording progress, for exampleActual Start or Finish Dates, click Customize Activity View on the Activities toolbar to customize your view to display them.

Tip: You can also add columns to report that activity progress has stopped for a period of time (Suspend Date) or has restarted after a suspension of work (Resume Date).

  1. To record progress, double-click in the appropriate column.
  2. When finished, click icon to save changes (Ctrl+S) to save your changes or click icon to cancel changes (Ctrl+Z) to cancel your edits.

Highlight activities with expected progress

On the Activities page, to quickly locate the activities you need to update, you can use the Progress Spotlight feature, which highlights all activities that should have progressed during a specific time period. This time period is defined by the smallest increment of the current timescale since the last data date. For example, if the current timescale is set to Month/Week, Progress Spotlight highlights all activities that should have progressed during the week since the data date.

To show or hide the Progress Spotlight, on the Activities toolbar, click icon to show or hide Progress Spotlight.

In the Gantt chart, Progress Spotlight displays a yellow background, or curtain, to indicate the time period during which progress should have occurred. You can drag the end point of the highlighted area to extend or compress the time period.

In the Activity Table, all activities that should have progressed are highlighted. You can use Ctrl+ the Up or Down arrow key to navigate to each highlighted activity in sequence, recording progress in the appropriate data columns. If you want to automatically calculate progress for some activities, you can include the auto-compute actuals column in your view so you can turn this option on as needed for specific activities.

Record progress in Activity Details

From the Activity Status details page, you can record progress for an activity, including actual dates, remaining duration, and actual and remaining units, or work effort. You can also report that work progress has been suspended or restarted.

Tip: Depending on your organizational procedures and individual project requirements, you may want to update progress at the activity level or for individual resource assignments on an activity. To record progress for individual resources assigned to an activity, use the Activity Resource Details page.

Step 1: Displaying Activity Status details

The procedure for displaying Status details differs depending on which of the two available Activity Details layouts you are using. The layout you use depends on a combination of administrative configurations and your preference settings.

  1. Select the activity in the Activity Table and, on the Activities toolbar, click icon representing activity details.
  2. If you are using the Activity Details tabs, click Status.

    If you are using the Activity Details form, expand the Status section, if necessary.

If Status details do not appear, edit your preferences to add them.

Step 2: Record progress

  1. Click the appropriate Edit link for the information you want to update: either dates and constraint or duration and units.
  2. Based on your needs, update the appropriate fields, then click Save.
